The 4 Stages of a Typical Office Build-Out Project: What to Expect
If you’re reading this, chances are you’re in the process of planning a new office build-out. Congratulations! This is an exciting time for your business. But it’s also a lot of work, so it’s important to stay organized and know what to expect. In this post, we’ll walk you through the four stages of a typical office build-out project and tell you what to expect at each stage. Let’s get started!

Pre-Construction Phase
Stage one: Office Space Planning: This is the planning phase of your project, where you’ll take a look at your space and get clear on what you need in terms of square footage, room layout and overall design. The Office Space Planning stage should include:
– Budgeting for Office Construction Costs
– Creating Office Floor Plans and Layouts
Stage two: Detailed Design, Bidding and Permits: Once you have an idea of your budget and space needs, it’s time to work with your architect to prepare the Construction Drawings, which are the detailed plans used for permitting and construction. The drawings include every detail necessary for the General Contractor(GC) and sub-contractors to bid and complete the job including floor plan, mechanical, plumbing, electrical and finishes (paint, wall covering, floor covering, doors and hardware), etc. The GC can also suggest ways to lower construction costs through value engineering.
Permits: Either the project owner or the general contractor will usually obtain the construction permit. Permits will also be required for each licensed trade, such as electrical, mechanical (HVAC), plumbing, and fire prevention. These sub-contractors will apply for their own permits under the main permit for the project.
Construction Phase
Stage three: Office Construction Phase: The Office Construction phase is when all of the physical construction takes place and you start to see your vision come to life. This can be an exciting time, but it can also be challenging if you’re not prepared. It’s important to communicate with your general contractor regularly so they know how best to service your needs. They will keep you informed through regular reporting, and through regular OAC (Owner, Architect, Contractor) meetings. They will also make requests for progress payments according to agreed upon construction schedule and milestones.
The GC manages all aspects of the construction phase including sub-contractors, schedule and construction budget. They should communicate effectively with you, the owner about any issues that may arise and how they are planning to move forward. The GC will also manage all required inspections along the way.
Stage Four: Construction Completion and Move-In Preparation: Once construction is completed, the GC will do a final walkthrough with you to go over any punch list items that need to be addressed. Punch lists usually include very minor details such as painting touch ups, caulking and other small finishes.
Remember that the Project Owner will need apply for a Certificate of Occupancy. In most jurisdictions, this requires a final Fire Inspection and an Occupancy Inspection. You will need to plan in advance for this by talking with the City Permitting Department, as almost all jurisdictions have a different process and timeline.
Office Fit Up & Grand Opening: Once the construction is complete, it’s time for the final touches. This might include things like installing furniture, hanging artwork and installing office equipment and technology. You’ll also want to plan your office grand opening party!
